The target audience of the system was non-PC literate pub managers that wanted to do the paperwork as fast as possible without requiring specialist training. As a result the system needed to be developed to be fast, user friendly and easy to use.

Fusion designed the interface to be simple and intuitive with online help and instructions. Working with PPM we simplified the authorization process to one screen and a series of tick boxes for approval or rejection were designed into the page.

The site was database driven and updated monthly by the accounts company with details of all 300+ pubs outstanding maintenance invoices. Each month the pub manager logs into the system and views all their pub's maintenance invoices. The manager can then authorize the invoices for payment or reject them stating reasons, all within one screen.

The system was an immediate success with over 80% of all pub managers using the system within the first month of going live. Feedback was positive and pub managers found it easy to use.

The system not only sped up the invoice authorization process, but it also saved the company money by reducing its postage costs and increased the accuracy of data by eliminating duplication of data entry.
